Privacy Policy
This Privacy Policy explains how DocketPro (“DocketPro”, “we”, “us”) collects, uses, stores and shares information when you use the DocketPro mobile app and the DocketPro web admin (together, the “Service”). DocketPro is a business-to-business (B2B) field-operations tool for construction and civil crews. Your company's administrators manage its account and the team members within it.
Who controls your data
DocketPro is a team app. When your employer or organisation signs up, that company is the controller of the operational records created in its account, and DocketPro acts as a processor that stores and processes those records on the company's behalf. If you are a team member, requests to access or delete company records may need to go through your company administrator.
Information we collect
- Account information — your name and email address, and the company you belong to. Passwords are handled by our authentication provider and are never stored by us in plain text.
- User-generated content — the operational records you create in the Service, including job dockets, prestart and safety checklists, machine and fleet details, fault reports, photos you attach (for example photos of plant damage or defects), and signatures captured for on-site sign-off.
- Company & role data — your role, permissions and membership within a company, and records of actions taken in the account.
- Billing information — subscription plan and status. Card payments are processed by Stripe; we do not collect or store full card numbers on our servers.
- Technical & usage data — basic information such as device type, app version and log data needed to operate, secure and troubleshoot the Service.
How we use information
- To provide, maintain and improve the Service and its features.
- To let your company's administrators manage members, roles, machines, jobs, dockets and prestarts.
- To process subscriptions and payments through Stripe.
- To secure the Service, prevent abuse and troubleshoot problems.
- To respond to support requests and send important service notices.
Where your data is stored
Your account and operational data are stored using Supabase (a hosted PostgreSQL database and file storage platform), which hosts data on cloud infrastructure on our behalf. Payment processing and subscription billing are handled by Stripe. Both providers are contractually bound to protect the data they process for us. Depending on the region, your data may be stored or processed on servers located outside your country.
How we share information
We do not sell your personal information. We share information only:
- Within your company's account — records you create are visible to other authorised members and administrators of the same company, according to their role and permissions.
- With service providers — such as Supabase (hosting/database/storage) and Stripe (payments), strictly to run the Service.
- For legal reasons — where required by law, regulation or valid legal process, or to protect the rights, safety and security of users and the public.
- In a business transfer — if DocketPro is involved in a merger, acquisition or sale of assets, subject to this Policy.
Data retention
We retain account and operational records for as long as your company's account is active and as needed to provide the Service, meet legal or accounting obligations, and resolve disputes. When records are deleted, they are removed from active systems and purged from backups within a reasonable period.
Your rights & choices
Depending on where you live, you may have rights to access, correct, export or delete your personal information, or to object to or restrict certain processing. To exercise these rights:
- Access & correction — you can view and update much of your data directly in the app, or contact us for help.
- Account deletion — you can request deletion of your account and associated personal data from within the DocketPro mobile app, or by emailing us at support@docketpro.com.au. Because DocketPro is a team app, some company records you created may be retained by your company administrator as business records even after your individual account is deleted.
We will respond to verified requests within the timeframe required by applicable law.
Security
We use encryption in transit, access controls and reputable infrastructure providers to protect your data. No method of transmission or storage is perfectly secure, but we work to protect your information and to notify you of significant incidents where required by law.
Children's privacy
DocketPro is a workplace tool intended for use by businesses and their workers. It is not directed to children, and we do not knowingly collect personal information from anyone under 16.
Changes to this Policy
We may update this Policy from time to time. When we do, we'll revise the “Last updated” date above and, where appropriate, notify you in the app or by email.
